Section 4 Service providers/third parties

It is imperative to identify anyone who is providing a service in the course of this activity (this could be the location where an event/activity is being held or someone running a workshop) and follow the 5 steps below:

  1. Check for insurance. - do they have the necessary employers/public liability insurance.

  2. Check for competence - do they have the training and experience to enable them to undertake these tasks safely?

  3. Check they can do the job safely - Who is responsible for health and safety, have they planned for the safety aspects of the job?


Steps 1 to 3 can be achieved by sending a copy (and ensuring an adequate response is received) of the standard letter (attached at end of section) for ensuring Health and Safety of a service provider for an event/activity/activity).


When they are on site;


  1. Check they are actually doing everything as they said they would. Check on random occasions that work is being undertaken as they specified it would be. If it is not, make a formal note of this and discuss it with them. If this happens twice ask them to leave the site as Health and Safety is jeopardised.

  2. Check everyone has been briefed - check everyone knows the emergency procedures and who is responsible for what.
